SUMMARY OF WORK:
The Assistant to the Vice President is a key support role to both Academic Affairs and Student Affairs. This position is a highly skilled administrative professional who provides a wide range of support services to the Vice President of Academic and Student Affairs. This position demands a high level of professionalism and confidentiality in all dealings of the College. The Assistant to the Vice President duties require attention to detail, strict standards of confidentiality, and timeliness. Position may be required to work evenings at the beginning of each semester. This position must be able to be pleasant in stressful situations and accurately record information with frequent interruptions.

- Schedule appointments, arrange and coordinate meetings, keep appropriate individuals informed of itineraries and appointments.
- Take, transcribe, and distributes minutes of all meetings chaired by the VP of Academic and Student Affairs and as designated by VP.
- Make travel arrangements, process registrations and vouchers.
- Compose, edit, and prepare correspondence and reports.
- Assist in various projects as requested for the Deans of Academics, Student Success and Outreach.
- Maintain course curriculum data, update program curriculum and course offerings.
- Research, compile and organize information for reports as needed.
- Maintain list of adjunct instructors.
- Track faculty loads and prepares Additional/Overload Pay agreements, and Internship/Practicum agreements for all full-time, part-time, and adjunct faculty.
- Handle confidential records for the Vice President of Academic and Student Affairs, faculty, students and administration.
- Collect syllabi and maintain official syllabi files for all courses, workshops, and corporate training offered through the college.
- Create, maintain, and post the monthly calendar of events and prepares work orders for such events.
- Schedule events and Inform IT and Facilities of event needs and/or classroom needs. Assist in set-up and facilitation of events.
- Plan, prepare, and distribute final exams schedule.
- Prepare, maintain, and distribute faculty load sheets, faculty hourly schedules, and course enrollment history document.
- Assist in coordinating schedules for fall, spring and summer sessions. Inputs course information and detail codes into Banner system.
- Assign classrooms to course schedules, prepares and updates classroom schedule signs.
- Maintain tenured and non-tenured faculty evaluation and observation schedule as well as adjunct classroom observation schedule. Schedule all classroom observations and evaluations.
- Track departmental budgets as appropriate. Prepare paperwork and track payments for departmental purchases.
- Maintain program requirement listings/plans of studies for use by faculty.
- Prepare documentation as requested for various meetings and accrediting bodies.
- Responsible for communicating updates to the college catalog.
- File all materials and maintenance of records for the Vice President of Academic and Student Affairs.
- Prepare, distribute, collect, and tabulate student evaluation of courses.
- Prepare faculty duty day materials/brochure and plan/coordinate the snacks and/or meal for duty day.
- Provide clerical support for VP, Deans and faculty, if needed.
- Participate on committees and organizes events as needed.
- Perform other duties as assigned.

Skills: This position requires skills in the use of general office equipment and computers including word processing, spreadsheet, database applications, and desktop publishing software, fax machine, copiers and printers. Strong human relations, customer service, and communication skills are required. Banner record keeping system.

- Two years administrative experience.
- Two years or more college level course work.
- Driver’s license required.
- Higher Education experience
